We are the data controller for personal information collected through this website (admitflow.co.uk) and the AdmitFlow product.
2. What information we collect
We collect only the information we genuinely need:
- Information you give us when you book a call via Calendly — your name, email address, and any answers to our intake questions (e.g., agency name, WhatsApp number).
- Information you give us when you message us via WhatsApp, email, or our forms — whatever you choose to share.
- Basic technical information when you visit our website — IP address, browser type, page views. We use this only to understand traffic patterns. We do not use it to identify you personally.
- Once AdmitFlow is live and you are a customer: we will process the student and operational data you choose to enter into the AdmitFlow CRM. This data belongs to you. We are a data processor for that data and a separate Data Processing Agreement will apply.
3. How we use your information
We use your information for these purposes only:
- To respond to your messages and conduct our 15-minute discovery calls.
- To send you product updates that you have asked for (e.g., when AdmitFlow is ready).
- To improve AdmitFlow based on your feedback.
- To meet our legal obligations (e.g., accounting, tax).
We will never use your information to send unsolicited marketing about unrelated products, sell it to advertisers, or share it with third parties for their own marketing purposes.
4. Legal basis for processing (UK GDPR)
We rely on these lawful bases:
- Consent — when you book a call or sign up for updates.
- Contract — when you become a customer of AdmitFlow, we process your data to provide the service.
- Legitimate interests — for basic security, fraud prevention, and improving our website.
- Legal obligation — to comply with UK law (e.g., HMRC accounting requirements).
5. Who we share your information with
We share your information only with these categories of recipients, and only when necessary:
- Calendly — to schedule and manage discovery calls. Calendly's privacy policy.
- Google (Gmail) — our email forwarding provider. Google's privacy policy.
- Cloud hosting providers — once AdmitFlow is live, we'll use UK or EU-based infrastructure providers. We will publish the full list before launch.
- UK authorities — only when legally required.
We do not sell your data. We do not share it with advertisers or marketers.
6. Where we store your information
Personal information is stored in the United Kingdom or the European Economic Area. Where any third-party processor (e.g., Calendly) is based outside the UK/EU, we ensure appropriate safeguards under UK GDPR are in place.
For AdmitFlow customers: your CRM data will be stored in UK or EU data centres. A self-hosted option (where data stays on your own server) will also be available.
7. How long we keep your information
- Discovery call records and emails: 24 months after our last contact, then deleted.
- Customer CRM data (once AdmitFlow is live): for the duration of the contract plus 90 days, then deleted (unless you export it sooner).
- Accounting records: 7 years (UK legal requirement).
8. Your rights under UK GDPR
You have the right to:
- Access the personal information we hold about you.
- Correct any inaccurate information.
- Delete your information ("right to be forgotten").
- Restrict or object to processing.
- Data portability — receive your data in a portable format.
- Withdraw consent at any time (without affecting the lawfulness of past processing).
- Lodge a complaint with the UK Information Commissioner's Office (ICO) at ico.org.uk.

9. Cookies
Our website does not currently use marketing or tracking cookies. We may add basic, privacy-respecting analytics later (e.g., Plausible Analytics, which does not use cookies). If we add any cookies, we will update this policy and seek your consent where required.
10. Security
We use reasonable technical and organisational measures to protect your information — including HTTPS encryption, secure passwords, limited staff access, and reputable third-party providers. No system is 100% secure, but we take this seriously.
11. Children
AdmitFlow is a B2B product for student recruitment agencies. We do not knowingly collect personal information from anyone under the age of 16. If you believe we have collected data from a minor, please contact us and we will delete it.

We may update this Privacy Policy as our product evolves. The "Last updated" date at the top will reflect any changes. Material changes will be notified to you by email if you have an account or have opted in to updates.
